Service 04 · QuickBooks, CRM, project and field tools

Make the systems you pay for actually run the business.

Most businesses do not need more software. They need the tools they already pay for set up around how the work really moves, connected to each other, and used the same way by everyone. I set them up, clean them up and connect them, then make sure your team can run them.

Fixed-scope project. You get one price in a written proposal after the call.

Sound familiar?

This is for you if you are saying:

Contractors and growing service businesses.

  • We bought software nobody uses.
  • Our systems do not talk to each other.
  • QuickBooks is not telling me anything useful.

What I set up

  • QuickBooks Online setup or cleanup on the operations side: products and services, customers and jobs, classes or projects, and how work flows in from the field (with your bookkeeper on accounting decisions)
  • CRM setup or cleanup: pipeline stages, lead intake, follow-up, quote handoff and reporting
  • Project and field tool setup: job templates, scheduling, task flow, time tracking and photo or document capture
  • Connecting tools so information is entered once: CRM to project tool, field tool to accounting, e-signature to the job record
  • Client onboarding, subcontractor onboarding and employee onboarding workflows built into the tools
  • SOPs, checklists and short training so the setup is used the same way by everyone
  • Dashboards and weekly reports with defined metrics and sources
  • Tool selection when you do need something new: requirements first, then a side-by-side comparison

What you walk away with

  • A map of how work moves today and how it will move after
  • Configured systems, tested on real work
  • Integration and data-entry rules: what lives where and who updates it
  • SOPs and a short training session for the team
  • A follow-up check after go-live

How the project runs

Diagnose, design, implement, verify, stabilize.

  1. DiagnoseWalk through how a lead becomes a job, a job becomes an invoice, and where people re-enter or chase information.
  2. DesignDecide what each tool is for, what connects to what, and who owns each step. Agree a fixed scope.
  3. ImplementConfigure and clean up the tools, set up the connections, and move or tidy the data that matters.
  4. VerifyRun real jobs and real customers through the setup and fix what breaks.
  5. StabilizeSOPs, training and a follow-up check so the setup holds once I step back.

Ongoing support is available after a project if you want it.

Tools I work in

I work in the tools you already have where they can support the process. These are tools I have worked in; it is not a list of partnerships, and I do not resell software.

Where my work stops. I work on the operations side of QuickBooks Online. I am not a CPA or accountant and do not do tax work or financial statements. Ongoing bookkeeping support is a separate path (Bookkeeping and Back-Office Support). Changes to your chart of accounts or tax settings are confirmed with your bookkeeper or CPA.

15-Minute Systems Fit Call

Not sure where to start? Start with a 15-minute call.

You do not need to know which service you need. Bring the problem. On a free 15-minute call:

  1. I learn what you need and what is getting in the way.
  2. You tell me how you want to solve it: your timing, your tools, how hands-on you want to be.
  3. I tell you straight whether and how I can help, or who might be a better fit.
  4. If it is a fit, you get a fixed-scope proposal with the work, the deliverables and one price. No obligation.

Free · 15 minutes · No pitch deck

It is a conversation about fit, not a sales script and not free consulting. If I am not the right person, I will say so.

A few straight answers.

Do I need new software?

Usually not. Most of this work is setting up and connecting the tools you already pay for. When a tool truly does not fit, I help define the requirements and compare options against them. I do not resell software.

Will you clean up my QuickBooks?

I clean up and set up the operations side: how jobs, customers, items, classes or projects and field information flow into QuickBooks Online. Accounting corrections, reconciliations and tax decisions stay with your bookkeeper or CPA, and I coordinate with them.

Can you connect our CRM to our project or accounting tool?

Often, yes, using the integrations the tools support. We decide what should connect during the design step, test it on real work, and document what lives where.

Can my team keep it running after you leave?

That is the point of the stabilize step: SOPs, short training and a follow-up check. Ongoing support is available after a project if you want it.
